iClosed Overview

Last updated: October 16, 2026

If your team books calls in iClosed, Charlie can now book, and update appointments directly in your iClosed calendar. It works the same way as our GoHighLevel, Calendly and OnceHub calendar integrations.

Requirements

  • You need an iClosed Business or Enterprise plan. API access isn't available on other iClosed plans.

  • Only account owners and admins can connect, change or remove the iClosed integration.

  • You'll need an iClosed API key. In iClosed, generate one under [Settings > API — confirm exact path].

What Charlie does once it's connected

- Offers real availability. The times Charlie offers come from your iClosed event's open slots and are shown in the lead's timezone.

- Books the call. When a lead picks a time, Charlie creates or matches the contact in iClosed (by email or phone) and books the appointment at that exact time. The lead is marked as booked in Charlie with the correct meeting time.

- Handles taken slots. If someone else takes the slot before the lead confirms, Charlie gets fresh availability and offers new times. It never confirms a booking that didn't go through.

- Cancels and reschedules. If a lead asks to cancel or move the call, Charlie updates the same appointment in iClosed. When a call is cancelled, the contact's scheduling status in iClosed goes back to Qualified.

- Handles existing contacts. Leads who are already contacts in iClosed are matched to the existing contact, so you don't get duplicates.

Configuration

Step 1 — Connect iClosed

1. In Charlie, go to Settings > Integrations > Calendars.

2. Select iClosed.

3. Paste your iClosed API key and click Save.

4. Charlie checks the key with iClosed. If it's valid, iClosed shows as Connected and your booking events load.

If the key isn't accepted, you'll see a message that tells you why. The most common reasons are:

- Invalid key: the key was mistyped, revoked or expired. Generate a new one in iClosed and try again.

- Plan not supported: your iClosed account isn't on Business or Enterprise.

When a key is rejected, Charlie doesn't save anything.

Step 2 — Choose a booking event for your setter

1. Open your Booking Manager (or setter) > Calendar.

2. Set the calendar provider to iClosed.

3. Search for and select the iClosed event Charlie should book into. Events show their name and duration.

4. Save. Your selection is kept when you reload the page.

Each use case books into one iClosed event. If you want different setters to book different call types, choose a different event for each one.

Disable vs. disconnect

- Disable: Charlie stops all iClosed activity, but your event selections are kept so you can turn it back on later. Any setter that uses iClosed will show "calendar not connected".

- Disconnect / remove key: the API key is deleted from Charlie, and the event selected on every setter is cleared. Appointments that are already booked stay in iClosed.

Troubleshooting

Calendar not connected

iClosed is selected on the setter, but the integration is disabled or disconnected, or no event has been selected. Reconnect it and select an event.

No times offered

No times offered: make sure the selected iClosed event has open availability for the dates the lead is asking about.

Data privacy

Your data stays private. Your iClosed key, event selections and appointments are only visible to your Charlie account.
