Hubspot: Voice setter integration

HubSpot integration enables seamless connectivity between your Charlie Voice Setters and your CRM, allowing for automated workflows, synchronized data, calendar integration, and comprehensive call tracking. This guide explains how to configure it, benefits, logs of call transcripts and key insights for optimal performance.

Prerequisites

  1. Active Hubspot account

  2. Admin access to both Charlie and HubSpot

  3. Voice setter created

Voice Setters must be manually integrated with HubSpot, they do not automatically inherit integration from DM setters.

Benefits

Configuration

First-time integration process: When no setter has been integrated with Hubspot yet:

Step 1: Access Integration Settings

  1. Open "Ai Setters" in your left side menu

  2. Navigate to your Voice Setter in Charlie, select one to configure

  3. Look for the Integrations tab in the top menu, and click on it

  4. Locate HubSpot from the available integrations

Step 2: Authenticate with HubSpot

  1. Click "Connect to HubSpot"

  2. You'll be redirected to HubSpot's authentication page

  3. Log in with your HubSpot credentials

  4. Review the permissions Charlie is requesting

  5. Click "Grant access" or "Connect app"

Step 3: Complete Connection

  1. You'll be redirected back to Charlie

  2. Confirm the connection was successful

  3. Your Voice Setter is now integrated with HubSpot

The Voice Setter integrations page provides access to the same features available for DM setters:

  1. Integration status (connected/disconnected)

  2. Property updates

  3. Custom Value Mapping

  4. Trigger rule creation

  5. Property update definitions

  6. Trigger activity logs

Automatic call transcript logging

When a Voice Setter call ends, Charlie automatically:

  1. Generates a complete transcript of the conversation

  2. Creates a new note in HubSpot

  3. Attaches the note to the associated contact record

  4. Timestamps the note with call date and time

  5. Includes a lead link

The HubSpot note includes:

  • Full conversation transcript

  • Call duration

  • Voice Setter used

  • Call outcome (if applicable)

  • Key data points extracted during the call

Transcripts are automatically associated with the correct contact record based on:

  • Phone number matching

  • Email address (if collected during call)
